Every shift, sign-on and swap, on their own phone.
Nobody should need a login to a system built for the office just to see their own week. RouteStra gives every member of staff their own portal, not just drivers: shifts, leave and documents for everyone, plus sign-on and the daily walkaround for the people behind the wheel, all on any phone, tablet or shared depot screen.
- No app store, any browser
- Their own data, nothing else
- Same system as the rota

The things your team does on a shift, made quick.
Sign on wherever they start
Drivers sign on to a duty through the browser: their own phone, a depot tablet or a shared computer all work the same. The time, location and device are stamped onto the shift, so the record is built as the day happens rather than typed up afterwards, and the hours flow straight through to payroll.

The walkaround, done and on the record
The daily walkaround is a full DVSA-style check, worked through item by item on the phone. Every item is logged with a pass or a defect, the odometer and fuel are captured, and a completed check is filed against the driver and the vehicle. If something is wrong, it is raised there and then rather than mentioned in passing. The checklist is yours to shape: build your own templates per vehicle type, so drivers only work through the items that actually apply.

Swap a shift without the phone tree
A driver can offer a shift, give one away or pick one up from the depot, all from the portal. The swap is checked against both drivers' hours before it goes anywhere, so a swap that would break the rules is caught early, and the office keeps full visibility rather than finding out from a group chat.

Published to payroll, in one thread.
Shifts land
The moment the office publishes the rota, the week appears in the driver's portal. My Shifts shows what is on, and My Route shows where.
Sign on
They tap to sign on at the depot. Time, location and device are stamped onto the duty.
Walkaround
The daily vehicle check is worked through on the phone. A defect grounds the question before the wheels turn.
On the road
Anything that happens on shift, an incident or a near miss, is reported from the same portal with photos.
Into payroll
Signed-on hours flow into the period export with the rest of the depot, ready for your payroll provider.
Leave, documents and answers, self-service.
They can see what leave they have left
My Leave shows any member of staff, driver or office, their entitlement, what they have taken and what is still pending, before they ask. They request time off from their phone, track where the request has got to, and the whole thing is checked against the rota on the way in, so ‘how many days have I got?’ stops being a question for the office.

Their documents, filed and in date
Contracts, certificates and payslips for everyone, plus licences, the CPC card and the medical for those who drive: everything the employer has shared sits in My Documents, sorted into folders. Expiry dates are tracked, so a card about to lapse is flagged to the driver rather than discovered at an audit, and anything that needs signing is put in front of them. When they are out on a job, the documents for the vehicle they are on are there too, so whatever they might be asked for at the roadside is on the same phone.

The answer, not a call to the office
Every FAQ, procedure, how-to and video you publish sits in the portal, searchable, so anyone looks up 'how do I book leave' or 'how do I report a defect' themselves rather than ringing round. Articles are grouped into your own categories, from Getting started to Safety & compliance, and can carry an attachment, so the guidance a new starter needs and the answer a driver wants at the roadside are both a search away on the same phone.

Every screen your people get.
The same My Portal block across the driver, operator and engineering apps, so office and depot staff get it too.

Common questions
No. Every employee gets the same My Portal: office staff, engineers, cleaners and managers as well as drivers. Everyone sees their own shifts, books leave and finds their documents and answers there. The road-specific screens (sign-on, walkaround checks, shift swaps) simply appear for the people who need them, so one portal covers the whole workforce rather than just the cab.
